We are looking for an Administrative Manager to join our growing company! This position supports Department 40 and Command Front Office at Naval Surface Warfare Center, Philadelphia, PA. This position is a leading member of the organization and supports the program and leadership. Duties:
Assist and support managers with tasking to include, but not limited to, the development of commendation letters and award nominations
Assist and support managers with tasking to include, but not limited to, the development of formal department, division and branch level business correspondence in accordance with SECNAV Instructions. The correspondence will contain both programmatic and technical information and system areas. Risk analysis will be incorporated into programmatic and technical health assessment documentation and metrics.
Utilize government accessible tools compatible with government assets such as NMCI. Tools may include web-based platforms such as Sharepoint or Microsoft Teams and non-web-based applications such as tools to provide Abode Acrobat portable document format (PDF) scanning; Acrobat PDF upload; document formatting; records listing; quality process organizational charts, and data management, graphic design support, and to create visual solutions to communicate messages through print, and electronic media. Tasking includes, but is not limited to, illustration, photography, and various print layout techniques to relay explanation of capabilities, knowledge areas, work areas, and major programs, and efforts.
Support the adoption of a hybrid workplace environment through assistance with enterprise wide collaboration tools and websites. Tasking to include, but not limited to, technical support, content updates and user enhancements for Microsoft Teams, Microsoft Outlook and MyPD website.
Develop and maintain organizational charts and employee phone directories.
Provide support for Systems Engineering Plan tools, and processes.
Manage all records generated and controlled in accordance with NAVSEA Instructions.
Develop strategies to support digital transformation and reduce reliance on paper documentation. Tasking to include, but not limited to, document scanning and development of tracking and management infrastructure to support these efforts.
Associate’s Degree preferably in program management, or a related discipline from an accredited college/university.
One year of related experience in such areas as payroll support, performing clerical duties, word processing, filing, preparing correspondence, data entry, coordinating and scheduling meetings, arranging travel, personnel management support, records management support, creating and modifying documents, spreadsheets and presentations.
Proficient in Microsoft Products (i.e. Word, Excel, and Power Point) as well as Adobe Acrobat.
Working knowledge of the Naval Sea System Command, Naval Surface Warfare Center, and Fleet organizations is desired.
